PlayTime Scheduler Tips & Tricks:
Setting Registration Windows

When creating a session, Power Users can set a registration window. This determines when signups will open and when they will close relative to the session’s start time. You can open registration well in advance, keep it close to the start, or anywhere in between—it’s entirely up to you. For repeating sessions, the registration window remains relative to each individual session, not tied to a single fixed date.

You can also control how and when players are notified about the new session. Choose to send notifications right away, wait until registration opens, or skip notifications altogether. If you choose the second or third option, you can also decide whether to hide the session on the calendar until signups open. If you leave it visible prior to registration, instead of showing the number of players on the bubble, it will display a small clock icon. The session window will show the date and time registration begins, and prevent signups until then. Power Users wanting to join your session can opt to receive a push notification reminder 15 minutes prior to registration opening.

Even after registration has closed, players can still drop out if they become ill or something comes up. If you wish, you can receive a push notification when this happens, giving you time to find a sub. One important note for waitlist users: once the registration deadline has passed, the first person on the waitlist will not be automatically moved on to the playlist, as they normally would. You’ll need to send them a quick personal message if you want them to come. This is intentional to avoid last-minute surprises and keep things clear for everyone.
